Few would have predicted that Google's mail service, which debuted in 2004, would eventually become one of the best free email services available. People were content with Hotmail (aka Outlook), but Google eventually established itself as a worthy competitor in the email space. With Google Drive, Android, ChromeOS, and so many other apps in the Google ecosystem, it was an obvious step for Google to take. Gmail was the beginning of it all, and it's come a long way since then.
With over a billion users, Gmail has become the go-to for free email accounts, whether they are permanent or just for events. You can link an AppleID account to Gmail or direct wedding emails to a specific mailbox, among other things. So, sixteen years later, how does Gmail fare against the competition in 2020, with Outlook and Yahoo Mail still nipping at its heels?
If you are a new Gmail user, the sign-up process is straightforward: simply enter your full name, date of birth, and e-mail address name. It's simple enough, but the challenge is finding a free email address among the 1.5 billion already in use. When it comes to web access, Gmail has a simple layout that is inspired by the material design mantra that is used across Android, ChromeOS, and the rest of its web apps. Despite the addition of features such as 'Focused Mailbox' and improved integration of Google Drive to send large attachments, Google kept the design clutter to a minimum, making it easy to log in, check the mailbox, and log out. However, they found this feature to be a little temperamental and preferred to leave it turned off.
Google introduced 'tabs' in 2013, allowing you to easily categorize the types of emails you receive between your primary inbox, social, promotions, and updates. These can be customized however the user desires, especially if used as a primary account for personal or business purposes. There is also integration with other Google services, such as Google Drive and Google Docs. This means you can access your saved files and documents directly from your email account. You can even send links to Google Drive, allowing you to share large files with others without exceeding Gmail's 25Mb 25-attachment limit. The initial appeal of Gmail was to provide a free and accessible email service to everyone while keeping spam to a minimum. That goal is still being pursued, but some features help it integrate with the Google ecosystem. Search has greatly improved in recent years; you can search for a location in an email from 2015 or filter out messages sent by a work colleague. There's even an 'Undo to Send' feature, so if you accidentally sent something to a manager you shouldn't have, you can quickly undo it. Although useful, the design of Gmail helps with the ' send' option being so prominent that you don't accidentally click it too often.
However, there is the option of using their native app, which is available on the App Store and Google Play. It's a simple app that can stop an email from being sent five seconds after it's sent, but it can be confused with 'Focused Mailbox.' This is a feature that 'assists' in determining which emails are spam, useful, or useless. However, we found it to be very untrustworthy, and they recommend turning it off so that you have the standard 'inbox, sent, spam' sections for better control. Another useful feature is the unified mailbox, which allows you to add other email accounts, such as Outlook and Yahoo, and use them within Gmail.
However, it has a shaky track record with the main app. It was once thought that the Android variant had superior features to its iOS counterpart, but after a while, it was seen as lagging behind third-party apps such as Inbox and Spark. Google made the wise decision to launch a new 'Gmail' design called Inbox in 2015, but they discontinued it in 2019, instead bringing some features to their own Gmail app and bringing it up to par with the iOS version. This method worked to a point, but it was slow at times when syncing email and attempting to attach a video when tested.
Gmail is not only for consumers; it is also a component of Google Workspace. This business-oriented web app version is ideal for small-to-medium-sized businesses. You can have custom addresses, but Gmail's backend handles everything – so an email could be '[email protected],' but it would still be a Gmail account and function the same way.
